1. Who we are
AZP Wash (Przemyslaw Zadrozny, a sole trader based in Leicester) cleans windows and related exterior surfaces for customers in Leicestershire and Warwickshire. For the information described in this notice we are the data controller — we decide what is collected and why.
Contact us about anything on this page:
- Email azpwash@outlook.com
- Phone 07742 960525
We are not required to appoint a Data Protection Officer and have not appointed one. Enquiries are handled by the person who runs the business.
2. What we collect, and why
a) When you use the quote form
The form on our home page asks for your name, phone number, your email address (optional), the postcode of the property, the type of property, which services you are interested in, and anything you write in the message box.
Why: to work out whether the property is somewhere we cover, to price the work, and to reply to you. Nothing more. We do not use it for marketing and we do not add you to a mailing list.
b) When you call or email us
We keep the correspondence itself, along with your contact details and the property address, so we can quote, arrange the visit and come back to you afterwards.
c) When you become a customer
We hold what we need to do the work and be paid for it: your contact details, the property address and how to get access, what was agreed, when we attended, and our invoices and payment records.
d) Website and technical information
Our hosting and content-delivery provider keeps limited technical logs, which can include IP addresses, to keep the site available and free of abuse. We do not run analytics scripts or advertising trackers on this site.
3. Our lawful bases
UK GDPR requires a lawful basis for each use of your information. Ours are:
- Steps prior to entering a contract, and performance of a contract (Art. 6(1)(b)) — quoting for work you have asked us to quote for, then carrying it out and invoicing it.
- Legitimate interests (Art. 6(1)(f)) — keeping a short record of enquiries and correspondence so we can pick up a conversation you started, and answer a query about a job we did. Our interest is in running the business properly; we balance it by keeping only what the job needs and deleting it on the schedule below.
- Legal obligation (Art. 6(1)(c)) — keeping accounting and tax records.
We do not rely on consent for the quote form, because sending it is itself a request for a quote. You can still ask us to delete the enquiry at any time — see section 7.
4. Who we share it with
We do not sell your information and we never share it for anyone else's marketing. It is shared only where it is needed to run the service:
| Who | What for |
|---|---|
| Beloved Websites (FormVault) | Hosting this website and delivering the quote form to our inbox. They act only on our instructions, as our processor, and do not use your details for anything else. |
| Our email provider | Receiving and replying to your enquiry. |
| Our accountant, if we use one | Bookkeeping and tax, under a duty of confidence. |
We may also disclose information where the law requires it — for example to HMRC, or to a court.
Some providers we rely on operate outside the UK. Where personal information is transferred internationally, we rely on a safeguard recognised under UK data-protection law — a UK adequacy decision, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses.
5. How long we keep it
| What | How long |
|---|---|
| Form submissions sitting in the form provider's system | A short operational window of about 90 days after delivery to our inbox, then deleted there. |
| Enquiries that do not turn into work | Up to 24 months, then deleted. Ask us sooner and we will delete it sooner. |
| Customer records and correspondence | For as long as you are a customer, and 12 months afterwards. |
| Accounting and tax records | 6 years, as UK tax law requires. |
| Backups | Cycled and overwritten on the normal backup schedule. |
We do not surgically edit backups. Information in a backup ages out on the overwrite cycle; if a backup is ever restored, deletions we have already honoured are re-applied.
6. Cookies and this website
This site sets no cookies of its own. There are no advertising cookies, no cross-site trackers and no analytics scripts. The fonts are served from this site rather than a third party, so loading a page does not tell anyone else that you visited.
Our security and content-delivery provider may set a cookie that is strictly necessary to protect the site from automated abuse. Strictly necessary cookies do not require consent under PECR, which is why you are not being asked to dismiss a cookie banner.
The quote form runs two basic anti-spam checks before it sends anything: a hidden field that only an automated bot would fill in, and a check on how quickly the form was completed. Neither collects information about you.
7. Your rights
Under UK GDPR you can ask us to:
- Give you a copy of the information we hold about you (Art. 15);
- Correct anything inaccurate (Art. 16);
- Delete it (Art. 17) — although we must keep accounting records for the six-year period above;
- Restrict how we use it while a question is being resolved (Art. 18);
- Receive it in a portable format (Art. 20);
- Object to processing we base on legitimate interests (Art. 21).
Email azpwash@outlook.com with what you want and we will respond within one month. There is no charge. We may need to check who you are first, so that we do not hand your details to someone else.
8. Keeping it safe
Enquiries reach us over an encrypted connection and are held in access-controlled accounts. Devices are protected by a passcode or biometric lock. Access is limited to the people who need it to do the work. No system is perfect, but we take measures appropriate to the risk, and if a breach affected your information we would tell you without undue delay.
9. Changes, and how to complain
We may update this notice. If we change it materially we will update the date at the top of the page.
If you are unhappy with how we have handled your information, tell us first at azpwash@outlook.com and give us the chance to put it right. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
